Virtual Events | Getting Started

Westmont College Music Department's Opera took to the virtual stage in 2021.

Virtual Events may have come into their own over the last two years, but they’re here to stay as a great way to reach a wider audience, in tandem with in-person events. We've learned a lot from producing virtual concerts, conferences, and fundraising events, and we love sharing what we've learned.

Here are three technical and creative considerations we work through with our clients early in the process as they consider putting on a virtual event.

To Livestream or Not To Livestream

Our first question is: does the filming/editing need to take place in real time? Perhaps it is a hybrid event, with simultaneous in-person and online audiences. Perhaps there are scheduling constraints which do not allow time for filming and editing in advance of the event. In these cases, we would recommend a livestreamed event.

In many cases, a pre-filmed event can provide the same direct engagement, while providing all the benefits of editing. Be sure to talk to us early in the planning stages of your virtual event to make sure there is enough time between filming and release for editing the project, as the edit schedule varies based on the length and complexity of the event.

 

Knowing Your Audience

With years of putting on live events for your community, you know what your audience likes—the venue, the food, the length of the speeches—and you can tell from the buzz in the room that things are going well. With a virtual event, it can feel like you're in the dark.

That's where our expertise comes in—we put a lot of work into knowing how an audience will react to an edit, and can help you bridge that gap. Help us know your audience, so we can shape the event with them in mind.

We're Not in Kansas Anymore, Toto!

A Virtual Event is a different beast than a live event, and the instinct when facing the unknown is to cling onto the familiar. Our advice to any client who asks us about virtual events is to embrace the change—play into the strengths of the medium!
